General Description
The Subcontractor shall provide general administrative office duties for assigned organization in accordance with Government policies and regulations. The Subcontractors responsibilities shall include collecting information to establish facts and take required action; preparing data, information, and comments for reports; responding to inquiries or action items; support for briefing material and publications, budgeting, personnel records, employee time and attendance, and payroll; and conducting physical property inventory. The Subcontractor shall provide office coverage for other program support assistants during their absence.
Reference/Tools
The Subcontractor shall use a variety of Government office automation software systems (e.g., Microsoft Word, Excel, Outlook, and PowerPoint) to create charts, emails, and official correspondence and administrative reports.
Performance
The Subcontractor shall prepare correspondence, reports, and documents ensuring correct grammar, format, and clarity in accordance with correspondence regulations, to include Army Regulation 25-50 and other relevant policies. The Subcontractor shall establish and update data files.
The Subcontractor shall maintain employee attendance records, maintain calendars, coordinate and schedule meetings and appointments, submit visitor requests, and receive visitors and phone calls with the ability to ascertain the nature of request, and direct visitors and callers to the appropriate staff.
The Subcontractor shall process travel orders and vouchers using appropriate Government and organizational processes and the Government Defense Travel System (DTS).
The Subcontractor shall maintain attendance on a daily basis using the Out-of-Office (OOO) program, and record time in the Automated Time & Attendance Production System (ATAAPS) program on Government computer systems. The Subcontractor shall conduct a periodic inventory of durable and non-durable property.
Requirements
High School Diploma or GED; Associates Degree in any field preferred. Specialized Certifications: None (1) One year of specialized experience that includes applying methods and procedures to coordinate and perform clerical and administrative functions in an office setting; specifically, timekeeping, training and travel management. (2) One year experience utilizing Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat, to accomplish a full range of office support functions such as preparing and editing correspondence, and producing a variety of written documents. (3) Experience with a DoD or Army organization using software based timekeeping and travel management tools (e.g. the Automated Time Attendance and Production System (ATAAPS)) is preferred.
Must be US citizens. Personnel shall have (or be able to acquire) a DoD SECRET clearance to handle documents and information that may include classified (SECRET or below) content. Personnel may be required to travel or perform services at Temporary Duty Locations on a limited basis.
